Other fees

This is a very reduced registration fee available for individuals accompanying a congress participant. Each participant may register one accompanying person. Children up to 12 years old are not considered accompanying persons. An accompanying person can be responsible for a child during the event. Please refer to the Childcare section for more details. Accompanying persons do not have access to the congress area but are granted entry to the exhibition hall and poster area. This fee includes access to the exhibition hall, the poster area, coffee breaks, lunches, and the Welcome Reception on August 17, 2025.

Please indicate any dietary restrictions or preferences to help us accommodate the needs of your Accompanying Person during the congress. If the person has no specific requirements, please select None.

The Congress Registration Fee includes:

All registered participants, regardless of their category, will receive:

  • Access to the exhibition hall and poster area
  • Daily coffee breaks and lunch during main congress days (18-22 August 2025)
  • Admission to Welcome Reception on 17 August 2025
  • One 10-trip public transport card (T-Casual) per participant, valid for metro, tram, suburban train (Rodalies), and buses (not valid for airport transfers and cannot be shared among multiple users)
  • Free access to the "Planet Life" Exhibition at the Museu de Ciències Naturals de Barcelona

Additionally:

  • ESEB Members, Non-Members, and Students also have full access to all scientific and special sessions

 

Refund Policy:
If you need to cancel your registration, you must send a request via email to eseb2025barcelona@aimgroup.eu before the deadlines:

  • Cancellations received until and including June 17, 2025 – Full refund minus a €50 administrative processing fee
  • From June 18, 2025 – No refund will be issued

This refund policy applies to all registration categories.

Social Activities

Welcome Cocktail

All registered participants are invited to the Welcome Cocktail, which will take place in the Banquet Hall of the CCIB, featuring a stunning terrace with breathtaking views of the Mediterranean. This informal gathering provides a great opportunity to connect with fellow attendees before the congress begins. Light refreshments will be served. Attendance is included in the registration fee. Please confirm your attendance by selecting the corresponding option.

Closure dinner

The Closure Dinner will take place in the Sala Gran of the Museu Marítim de Barcelona, a historic venue within the Royal Shipyards, offering a unique setting for this special evening. Guests will enjoy a memorable dining experience surrounded by maritime heritage. We are also delighted to announce a live concert by the IRB Band, a group composed entirely of scientists, adding a unique touch to the evening. The Closure Dinner is not included in the registration fee and requires an additional payment. Please select the number of tickets you wish to purchase in the registration form.

Childcare Services

A professional childcare service will be available on-site during congress sessions for children aged 3 to 12 years in a dedicated space within the venue. The service will follow the congress schedule:

  • Monday, Tuesday, Thursday, and Friday:  9:00 - 12:30 and 14:00 - 18:00 
  • Wednesday:  9:00 - 13:00 (afternoon free). 

The service is offered at a fixed package price per child, VAT included, regardless of the number of days used. Alternatively, parents may choose to have an accompanying person (check registration fee) care for children aged 3 to 12 years during the congress.  Please indicate your choice below.

Please note:  Lunch is not included in the childcare package.  Parents are required to pick up their children during the lunch break and may either eat lunch with them at the venue or make their own arrangements outside the venue.

For children and babies under 3 years old, professional childcare services are NOT available.t In this case, care must be provided by an Accompanying Person.  A quiet space for changing and/or nursing will be available free of charge.

Please note that children must be accompanied at all times.  The accompanying person must be registered as an Accompanying Person, unless both parents are registered participants of the congress.

Mentorship

Your support will help increase participation in ESEB 2025 and the 30th European Meeting of PhD Students in Evolutionary Biology (EMPSEB) by providing guidance and opportunities to underrepresented and underfunded students and researchers. ESEB receives more requests for mentorship and career development every year than it can accommodate. Your involvement will directly impact the growth and success of talented individuals who might otherwise lack access to these opportunities.
