When processing your bank transfer, make sure you include the following information:
- ICCA2025
- Name and Surname of participant
Payments by bank transfer are available until October 1st, 2025.
Bank transfers should be processed up to 48 hours after registration is submitted.
All bank charges shall be paid by the participant.
Accommodation will only be totally reserved upon receipt of the full payment by the secretariat according to the deadline indicated.
An email confirming accommodation will only be sent after receipt of the required fees.
A copy of the bank transfer (or other proof of payment) will be required if fees were not credited to the meeting account in time.
Guarantee/Payment of Reservation
Bookings are subject to availability, and payments can be made by credit card or bank transfer. All rates are quoted in euros, per room, per night, and include breakfast and taxes.
To guarantee the reservation, a full deposit is required. The credit card will be charged at the time of the transaction. For bank transfer payments, credit cards will only be charged in case of penalties.
Bank transfer payments must be received within 4 to 6 business days after booking. The Tourist Tax must be paid directly at check-in at the respective hotel.
Cancellation Policy
Cancellations must be requested in writing to the PCO Partner and will be subject to the following conditions:
- Until 15th May 2025: No penalty.
- Between 16th May and 08th August 2025: 80% of the total stay will be charged as a cancellation fee.
- Between 09th August and 07th September 2025: 90% of the total stay will be charged.
- From 08th September 2025 onwards: 100% of the total stay will be charged.
- No-shows or early departures: 100% of the stay will be charged.
Special Conditions
- Force majeure: In the event of unforeseen circumstances beyond human control (e.g., natural disasters, terrorist attacks, pandemics, border closures), postponement will be free of charge, and deposited amounts may be used for future events within 2 years.
- Additional bookings after 30 days before the event will be subject to availability.
- Any modifications or cancellations must be requested in writing to the PCO Partner (iccaporto2025@aimgroup.eu)
These terms have been structured based on the conditions provided by partner hotels and may be subject to adjustments according to individual negotiations with each establishment.
