Registration Cancellation Policy

Notification of cancellation must be sent in writing to the Organizing Secretariat:  labsummit2024@aimgroup.eu


Cancellation refunds as follows:  

  • A 50% refund will be applicable for cancellations until 11th March 2024 minus €50,00 handling fee  

  • Cancellations from 12th March 2024 onwards: no refund 

No refunds will be made for cancellations received after 12th March. All approved refunds will be processed and issued up to 60 days after labsummit.

HOTEL BOOKING CONDITIONS

Hotel bookings via the Organising Secretariat can be settled either by credit card or bank transfer. Each reservation will be processed ONLY if accompanied by credit card details which are requested as booking guarantee. Credit card details are also mandatory when paying by bank transfer. Payments by bank transfer are accepted until 12 April, after this date only payments by credit card are allowed.

Make sure to book your room as soon as possible to benefit from the special rates for LabSummit2024. Benefits are only applicable for Congress participants. The main nights booked at the hotels are the 16th, 17th and 18th May 2024. All bookings that include pre and post nights are pending hotel confirmation.


Guarantee/payment of hotel reservation
Bookings are subject to availability and payments can be done by credit card and bank transfer. All rates are quoted in Euros, per room, per night and include VAT, breakfast and taxes. To guarantee your reservation, a total deposit is required. Please note that your credit card will directly be charged at the moment of the transaction. For bank transfer payments, credit cards will only be charged in case of penalties. Bank transfer payments should be received between 4-6 working days after booking.

CANCELLATION POLICY

Any change or cancellation of the hotel reservation must be sent in writing to AIM Group International ( labsummit2024@aimgroup.eu ) according to the following conditions:

  • Until 15st February 2024: full refund
  • Between 16th February and 31st March 2024: 50% of total stay will be refunded
  • From 1st April 2024 onwards: 100% charge is applied/no refund

 

Kindly note that all approved refunds will be processed and issued within 60 days after the congress.

The Organization encourages participants to take out their own insurance for the duration of their stay.
